What to expect
Working with Hayden
Cooling infrastructure plays a vital role in your operations, even if it’s only one part of a much larger project. That’s why we make the process as straightforward as possible — with experienced, approachable engineers, proactive communication and a transparent, no-surprises approach from start to finish.
Consultative inquiry
When you reach out with a problem that needs to be solved, the first step is a discovery call with our team. We’ll discuss your desired temperatures, flow rates, volumes and sizing, as well as your processes and site requirements.
Proposal
After our initial consultation, we prepare a clear and detailed proposal based on your requirements. We review it together, confirm expectations, and address any remaining questions so you know exactly what to expect moving forward.
Final design
Once the proposal is aligned, we develop the final design for your approval. Our team produces detailed component drawings and confirms timelines — you will have full visibility before the project advances.
Project launch
With design approved, we kick off the project with a structured plan and open communication channels. You’ll receive updates at each key milestone so you always know where things stand.
Production and delivery
During manufacturing, we maintain consistent communication to keep your team informed. We prioritize on-time delivery and high-quality workmanship, coordinating shipping and, for larger projects, supporting commissioning and startup as needed.

Preparing for your consultation
To engineer a system that’s right for your facility and application, we need to understand more than just your required temperatures, flow rates, volumes and sizing. Here are a few additional questions you can expect our team to ask.
What can you tell us about your facility’s processes?
As we determine the best way to meet your cooling requirements, it helps to understand the whole picture of what’s happening at your facility. For example, if cooling occurs over multiple stages (like in RNG processing).
What else are you doing at your site that might impact your cooling?
Sometimes, other heat sources from outside your process impact the ambient air temperature. Knowing this helps our engineers design around them and keep your heat exchanger working as intended.
What’s your timeline?
While we aim for accurate lead times, there are a few things that can impact that. One of those is how quickly your team can review and approve drawings. Until that happens, we can’t lock in an accurate timeline.
Do you have any unique specifications?
This could include noise thresholds, material specs, limitations around international sourcing, coatings for corrosive environments, accommodations for extreme weather or any other site-specific quirks.
What codes do you need to meet?
No matter how rigorous your standards are, we can meet them. This includes ASME Section VIII-Div 1, API-614, API-661, CRN, NB, R-Stamp, AS1210 and NR-13. We also regularly design commercial-grade systems that don’t need to be certified. Tell us your requirements and we can engineer it.
Who are your points of contact?
Open and transparent communication with your team is important, whether things are on track or we need to have a difficult conversation. We’ll need the contact information for your project manager or project management team, as well as an on-site contact to coordinate with for delivery.
